As soon as your deposit is received, we’ll send a confirmation email along with your invoice—courtesy of our Sales Team—straight to your inbox.

Once it arrives, please take a moment to review all the details to ensure your travel arrangements match what you intended to book. If anything looks off or if you spot an error, just get in touch so we can sort it out quickly and accurately.

After your place on the trip is secured, your journey is in the capable hands of our Customer Experience Team. From that point until you head off, one of our experienced Operations Executives will be your go-to contact for anything travel-related. You’ll find their contact info at the bottom of your confirmation document.

Your remaining balance is due 14 days before departure . The due date will be clearly displayed on your invoice. If you’ve booked directly through Exodus and provided us with your email, we’ll also send you a friendly reminder 1–2 weeks before the balance is due.

Roughly 2 to 3 weeks prior to departure, you’ll receive your Final Joining Instructions, which include all the important details like flight info (if booked through us), meeting points, and contact numbers. If you’re arranging your own transport to connect with your tour, be sure to leave plenty of buffer time between connections.

At this point, we’ll also mail out your hard-wearing luggage tags—they’re built for adventure! These are sent separately via post. If they haven’t reached you one week before departure, just let us know and we’ll send replacements.

Note: Luggage tags are typically only posted to travelers who booked directly with Exodus Safaris. If you booked through a travel agent but would still like tags, just give us a shout and we’ll happily send them your way.

Once your final payment is in, it’s officially countdown time! Around 8 weeks before departure, your dedicated Customer Operations Executive will reach out—provided you booked directly and gave us an email address. They’ll send over an updated version of your Trip Notes and can assist with any last-minute arrangements or questions you may have.

Your feedback means the world to us—it helps us shape even better experiences for future travelers. If we have a valid email address for you, we’ll send you a link to our quick online feedback form while you’re still away, so it’s ready and waiting when you return home. Keep an eye on your inbox!

If you booked your trip through a travel agent or haven’t provided your email, no problem—just drop us a message with your name and the trip you joined at surveys@exodussafaris.com, and we’ll send the feedback form your way.

Around a month after you return from your adventure, we’ll send you an email inviting you to leave a review on our website. Your insights and experiences are incredibly helpful—not just to us, but to future explorers deciding where their next journey should take them!

To join any Exodus Safaris, a valid full passport is essential. In most cases, your passport should be valid for at least six months beyond your planned return date. Because passport regulations are frequently updated and may vary by country, we recommend confirming requirements with the nearest embassy or consulate of the country you’re traveling to.

Some trips may require us to collect your passport information before we can confirm your booking. If you renew your passport after booking, please share your new details with us promptly. In some cases, you may also need to travel with your old passport to ensure there are no issues with your reservation or entry into the country.


Visas: Your Responsibility

If your chosen destination requires a visa, it is your responsibility to obtain it. You’ll find the most up-to-date information on visa requirements (including transit visas) listed on your invoice. Keep in mind that visa rules can change unexpectedly, and while we will share any changes we become aware of, we cannot be held liable for decisions made by embassies, delays in processing, or border entry decisions outside of our control.


Travel Insurance: A Must-Have

Having comprehensive travel insurance is a mandatory requirement for all Exodus trips. Your policy should cover you from the day you depart until you return, and it must include coverage for:

  • Emergency medical treatment

  • Trip cancellation or interruption

  • All activities listed in your chosen itinerary (including maximum altitudes for treks, where applicable)

Be sure to double-check the fine print of your policy before departure to ensure it aligns with your travel plans.

Need to Cancel or Make Changes to Your Booking?

If your travel plans change and you need to cancel, please notify us at your earliest convenience. Cancellations must be submitted in writing, and we encourage you to review our booking terms to understand any applicable cancellation fees. Typically, if you cancel prior to the due date for your final payment, your deposit will be non-refundable. However, in many cases, we’re able to retain your remaining balance as credit for a future adventure.

Once your final balance has been paid, cancellation fees follow a tiered structure, as outlined in our booking conditions.

Considering switching tours or transferring your place to someone else? Let us know before your final balance is due. While we’ll do our best to accommodate your request, please be aware that extra charges from airlines or on-the-ground partners may apply. Transfers requested after the final payment has been made will be treated as a cancellation followed by a new booking.

Meeting Your Leader and Group

Your adventure begins at a designated meeting spot—usually the starting hotel or during your included arrival transfer. While we don’t share your leader’s personal contact details ahead of time, you’ll receive everything you need in your Final Joining Instructions, which are sent approximately 3 to 4 weeks prior to your departure. These will include the local support team’s contact information should you need assistance on arrival.

For specific details on where and when to meet your group leader, be sure to check the Trip Notes for your itinerary or reach out to our Customer Operations team, who’ll be happy to help clarify.


Arrival & Departure Transfers

Most of our trips include group arrival and departure transfers at scheduled times, and the cost is typically built into your trip package. If your flight doesn’t align with the scheduled group transfer, you’ll need to make separate arrangements. This might mean waiting for the group, booking a private transfer, or arranging your own transportation at your expense. Our team will discuss your best options when you book.

Changes to Group Transfer Times

From time to time, airline schedule changes may impact our planned group transfers. Should this happen, we’ll notify you as early as possible and provide updated transfer details. If you were originally booked onto the group transfer but the revised schedule no longer matches your flight time, we’ll organise an alternative option for you.

We understand that every traveller is different, and so are their packing preferences—even when heading out on the same trip. That’s why we don’t provide personalised packing lists for each tour. Instead, we equip you with several reliable tools to help you prepare:

While we aim to provide accurate recommendations, Mother Nature sometimes likes to surprise us. If we advise packing a rain jacket, it might be the driest season yet—but skip it, and you can count on a downpour!

Need to Rent Gear on Arrival?

For certain high-altitude adventures—such as those in Nepal, Tanzania, and Peru—we offer convenient on-location equipment rental. This allows you to travel light and still be prepared. Items like down jackets, warm sleeping bags, and trekking poles are often available, and exact details (including costs) can be found in your Trip Notes.

These are great questions—and also some of the trickiest to answer. That’s because fitness is personal. You know your own limits better than anyone else, and how much effort you’ll need to put in to meet the demands of your chosen journey.

If you’ve selected a physically demanding itinerary that will challenge your current fitness level, it’s important to train smart and give yourself the best chance of success.

While physical fitness plays a key role, particularly on hikes and cycling tours, altitude can be an even bigger factor on high-elevation adventures. The ability to acclimatize varies from person to person and is not always connected to fitness—though arriving in good shape definitely helps your body adjust.

Health & Vaccination Guidance

At Exodus Safaris, we want you to enjoy your journey in good health. While we don’t provide individualized medical recommendations, our Trip Notes highlight any mandatory or suggested vaccinations and whether anti-malarial precautions are advised for your destination.

For accurate, up-to-date medical guidance, we strongly recommend you consult a qualified travel health professional or your GP. As health advice can vary depending on the source—and sometimes even conflict—it’s best to speak directly with a licensed provider who can assess your needs based on your itinerary and health history.

Safe Drinking Water

Access to clean drinking water is essential no matter where you’re headed. On most of our tours, we make sure safe drinking water—whether filtered, boiled, or bottled—is available throughout the trip. However, on a few of our more remote itineraries, you may be required to bring your own portable water purification system. This will be clearly mentioned in the relevant trip notes if needed.

Personal Medical Kit

While all of our adventure leaders are first aid trained and travel with a well-stocked emergency medical kit, we encourage each traveler to bring a small personal first aid kit for day-to-day use. This allows you to treat minor injuries or discomfort quickly, especially when help may not be immediately available.

Items you might include:

  • Adhesive bandages (e.g., plasters or Band-Aids)

  • Sterile gauze and bandages

  • Basic pain relief (e.g., paracetamol, ibuprofen)

  • Antiseptic cream or wipes

  • Cream or tablets for insect bites and allergic reactions (e.g., antihistamines)

  • Sunburn treatment (e.g., aloe vera gel)

  • Anti-diarrheal tablets (e.g., loperamide)

  • Oral rehydration salts (e.g., Dioralyte)

Important: Keep essential medication (prescription or otherwise) in your carry-on bag, not your checked luggage. If you’re bringing prescription medicines or specialist supplies like a sterile needle kit, ensure you have appropriate documentation, and always pack these items in your hold luggage when flying.

When preparing for your adventure, be sure to budget for expenses not covered in your tour price—such as meals not included, drinks, optional excursions, tips, and personal spending like souvenirs or local treats. In most major towns and cities, ATMs are readily available, providing a convenient way to withdraw local currency—though be aware that your bank may charge international withdrawal fees. Credit and debit cards are increasingly accepted worldwide, especially in urban areas and at larger businesses, making them a reliable backup or primary payment method for many travelers.

While traveler’s cheques were once a go-to option, they’re now less practical in many places due to limited exchange facilities and high transaction costs. However, in some remote regions or countries with strict banking policies, they may still be a useful fallback.

To avoid surprises, consider carrying a mix of payment methods—a small amount of local currency for immediate expenses, a card for larger purchases, and backup options where applicable.
